Legal secretary, Almaty
We are looking for a Legal secretary to join our team in the Almaty office.
Job description:
- composes acknowledgement or enclosure letters, or undertakes other simple correspondence as required;
- maintains diaries, schedules and organises internal/external meetings, including booking taxis and arranging catering/refreshments for Principals and clients if required;
- deals with visitors as appropriate;
- organises travel arrangements (tickets booking/purchase, hotel accommodation, check-in/VIP Airport/transfers, visas, taxi order if necessary);
- answers internal & external telephone calls, takes messages and follows up, if required;
- organises conference calls (providing dial-in details and other info);
- creating PPTs upon request;
- producing presentation materials;
- formatting documents in MS Word, PPTs, Excel files in accordance with required house style both for Kazakhstan and Uzbekistan offices;
- preparation of engagement letters for Kazakhstan and Uzbekistan offices;
- liaison with Risk & Compliance Department for opening new matters/clients for Kazakhstan and Uzbekistan offices, fills in necessary documentation;
- liaison with Business Services staff for different administrative matters;
- opens and sorts mail, highlighting urgent items;
- maintains and updates the filing systems and archiving;
- maintains and updates Principals’ contacts lists;
- supporting legal research and communicating with vendors, experts, Lawyers, opposing counsel and other staff;
- document processing and translation from and into English;
- listing of documents;
- transcribing and proofreading legal documents;
- dealing with notarisation of documents (visiting notary upon request);
- support with personal issues of Partners – renewal of passport, visas, residence permit, translations, renewing memberships, booking restaurants, etc.
- operates office equipment such as photocopier, fax machine, printers and scanner;
- making DHL / Pony Express orders and preparing the documents for the delivery (i.e. filling in the AWB’s, proforma invoice and other documents necessary for the customs);
- organising or assisting with corporate events (teambuilding, New Year party, Kinstellar’s anniversary);
- back up for legal secretaries and reception if required (during sick leaves, vacations, lunch time, absences during the day);
- performs other related duties incidental to the work described herein.
The ideal candidate will meet the following criteria:
- Full proficiency in English
- Touch typing
- IT skills: MS applications – particularly Word, Excel, Outlook, PowerPoint
- Ability to organise, multitask, prioritise and work under pressure
- Strong communication skills (written and verbal)
- Client-oriented focus (a true service provider)
- Neat and professional appearance
- Proactive and creative
- Flexible
- Experience in a global organisation, ideally in a legal environment, will be considered an advantage
