Haileybury Astana is currently seeking a dedicated Senior School Receptionist and Translator to provide essential support across a variety of office functions.

Type of contract: temporary maternity cover contract

Start date: June 2024

Main Responsibilities:

  1. Receiving, signing in and dealing with or directing pupils, parents and other school visitors as appropriate
  2. Operating the school’s main switchboard, transferring calls, or taking and delivering messages as appropriate.
  3. Providing school information to callers
  4. Greeting people entering the school
  5. Directing visitors to the correct destination
  6. Dealing with queries from the parents and the public
  7. Tidying up and maintaining the reception area
  8. Monitoring of the incoming and outcoming documents and their accurate storage monthly
  9. Monthly report of Yandex Taxi and Emex delivery documents to the Accounting Department.
  10. Ordering a taxi for Corporate charge and open access for School Staff.
  11. Do not leave the main reception without supervision.
  12. Ensuring that attendance registers are collated each morning and afternoon, for use by teaching staff
  13. Receiving and sorting incoming mail for delivery to appropriate staff
  14. Recording, stamping/franking and posting outgoing mail
  15. Occasional routine word processing and translating of documents, as and when required
  16. Maintaining appointment diary either manually or electronically, schedule appointments and organize meetings for parents and teachers
  17. Ensure knowledge of staff movement in and out of school
  18. Co-ordinate parent-teacher information evening calls, inform the administrators for appointments.

Requirements:

  • Completed university degree in any relevant field
  • Proficiency in English

  • Participating in meetings at school, which relate to the administration or organisation of the school
  • Having a working knowledge of whole school policies and procedures
  • Occasionally work outside of normal school hours
  • Undertaking other duties as the Headmaster may reasonably direct
